Privacy Policy

Knockvio ("Knockvio", "we", "us") builds software for real estate agents. This policy explains what we collect, how we use and protect it, and the rights you have over it. It covers the Knockvio website, web application, and mobile applications (together, the "Services"), and is written to meet the requirements of Canadian privacy law (PIPEDA, Quebec's Law 25, and Alberta/BC PIPA) and U.S. state privacy laws (including the California CCPA/CPRA and similar laws in Colorado, Connecticut, Virginia, Texas, and other states).
Two roles: your data, and your contacts' data
For your own information — your account, billing, and usage — Knockvio is the data controller and this policy applies directly. For the leads, contacts, and client information you enter into the app ("Customer Data"), you are the controller and we process it only on your instructions, as your service provider. We never mine, sell, or advertise against Customer Data.
What we collect
Information you give us
- Account details: name, email, password (stored hashed), team name and membership, plan selection.
- Billing details: handled by our payment provider; we receive subscription status and the last digits of your card, never the full number.
- Customer Data: the leads, contacts, addresses, notes, pipeline stages, follow-ups, and other business content you and your team enter.
- Support messages you send us.
Information collected automatically
- Precise location (GPS):the knocking map uses your device's location while you use that feature, with your operating-system-level permission. Location is treated as sensitive information: we collect it only to power map and territory features, you can revoke the permission at any time in your device settings, and we never sell it or share it for advertising.
- Device & technical data: basic technical information needed to run the Services, such as browser/device type, app version, and server and error logs — used to keep the Services secure and working.
- Cookies & local storage: we currently use only strictly necessary cookies (for sign-in sessions) and local storage (for preferences like dark mode). We do not use advertising or third-party tracking cookies. If we ever add product analytics, we will update this policy first and, where the law requires it (e.g., Quebec's Law 25), ask for your consent. We honor Global Privacy Control (GPC) signals where required — though since we don't sell or share personal information, there is nothing for them to opt you out of.
How we use information
- Provide, sync, and support the Services;
- Process subscriptions and prevent fraud and abuse;
- Power features you invoke, including AI features (see below) and map/territory tools;
- Improve the product using aggregated, de-identified information;
- Send service messages (receipts, security alerts) and — with consent where required by CASL — product news you can unsubscribe from at any time;
- Comply with legal obligations.
We collect only what we need for these purposes, and we don't use your information for automated decisions that produce legal effects about you.
AI features
Elite plans include an AI co-pilot (Nova). Content you submit to AI features is processed to generate your response and is not used to train our or our providers' AI models. Customer Data is never used for model training.
What we never do
We do not sell or rent personal information. We do not share it for cross-context behavioral / targeted advertising. We do not give one customer access to another customer's data. In the terms of the CCPA/CPRA: we have not "sold" or "shared" personal information in the preceding 12 months, and we don't process it for purposes beyond those in this policy.
How we share information
- Service providers under contract, only as needed to run Knockvio: cloud hosting and database (with row-level security isolating each account), authentication, payment processing, email delivery, and map data;
- Your team: if you join a team, your team leader and teammates see the team activity described in the product;
- Legal:if required by law, subpoena, or to protect rights, safety, or the integrity of the Services — we'll push back on overbroad requests;
- Business transfers:if Knockvio is acquired or merged, this policy continues to apply to transferred data and we'll notify you of any change in control.
Where data is stored & cross-border transfers
Our infrastructure providers may store and process data in the United States and Canada. When personal information crosses borders it remains protected by contract and by this policy; note that it may be subject to lawful access requests in the country where it is stored. Quebec residents: we assess cross-border transfers as required by Law 25.
Security
We protect data with encryption in transit and at rest, row-level security so each account's data is isolated, and least-privilege access controls. Our staff cannot open your account data unless you explicitly enable Support Access for troubleshooting — it is off by default and under your control. No system is perfectly secure; if a breach creates a real risk of significant harm, we will notify you and the relevant regulators (e.g., the OPC, Quebec's CAI, or U.S. state authorities) as the law requires.
Retention & deletion
We keep personal information while your account is active and delete or de-identify it when no longer needed. To delete your account, use the in-app controls or email support@knockvio.com from your account email; your data is then permanently removed from production systems within 30 days and from encrypted backups within 90 days, except records we must keep for tax, legal, or fraud-prevention purposes. You can export your Customer Data as CSV at any time before deleting.
Your rights
Wherever you live, you can:
- Access / know the personal information we hold about you;
- Correct inaccurate information;
- Delete your information (subject to legal retention duties);
- Export your data in a portable format;
- Withdraw consent or object to certain processing, and unsubscribe from marketing;
- Not be discriminated against for exercising any of these rights.
To exercise a right, email support@knockvio.comwith the subject "Privacy request" (data export and correcting your own details are also self-serve in the app). We respond within the time your law requires (generally 30–45 days), we'll verify your identity first, and authorized agents may submit requests where your law allows. If we refuse a request, we'll explain why and you may appeal by replying to our decision.
Canada
You may complain to the Office of the Privacy Commissioner of Canada or your provincial commissioner. Quebec residents additionally have Law 25 rights to data portability and de-indexation, and may complain to the Commission d'accès à l'information (CAI).
United States
Residents of California, Colorado, Connecticut, Virginia, Texas, and other states with comprehensive privacy laws have the rights above, plus the right to opt out of the sale or sharing of personal information and targeted advertising — which is moot here, because we don't do either. California residents: we don't use or disclose sensitive personal information beyond what's necessary to provide the Services.
If an agent has your information
If a real estate agent using Knockvio has recorded your information and you want it accessed, corrected, or deleted, the agent is the controller of that record — contact them directly. If you can't reach them, email support@knockvio.com and we will forward your request to them and help resolve it.
Children
The Services are for licensed professionals and are not directed to anyone under 18. We do not knowingly collect information from children under 13 (or the equivalent age in your jurisdiction); if we learn we have, we delete it.
Changes to this policy
We'll post updates here and refresh the date above. For material changes we'll notify you by email or in-app, and where the law requires fresh consent, we'll ask for it.
